Job Summary:
We are seeking a detail-oriented and organized Administrative Assistant with strong QuickBooks experience to support our daily office operations. The ideal candidate will be responsible for general administrative duties as well as managing financial records, processing transactions, and assisting with bookkeeping tasks using QuickBooks.
Key Responsibilities:
- Administrative Duties:
- Manage front desk including answering calls, responding to emails, greeting visitors and clients as well.
- Organize and maintain digital and physical filing systems.
- Schedule meetings, appointments, and manage calendars.
- Order office supplies and manage inventory.
- Provide general administrative support to staff and management.
- QuickBooks & Bookkeeping Duties:
- Enter and manage accounts payable and receivable in QuickBooks.
- Prepare and send invoices; follow up on outstanding payments.
- Reconcile bank statements and credit card transactions.
- Assist in payroll processing (if applicable).
- Generate financial reports for internal use or for accountant review.
- Maintain accurate financial records and assist during audits.
- Requirements:
- Proficient in QuickBooks (Online and/or Desktop)
- Proficiency in Microsoft Office (Word, Excel, Outlook)

Pay:
- $18 - $20/hour based on experience and an interview
