Position Summary:
The Case Manager Assistant provides administrative and program support to ensure the efficient operation of case management activities. This position is responsible for assisting with program enrollment, preparing and maintaining case files, responding to inquiries, performing data entry, and managing document workflows. The role also involves handling multiple high-volume phone lines, processing payments, and providing exceptional front-office support in a fast-paced environment.
Key Responsibilities:
- Create and maintain client accounts within the internal case management system.
- Prepare, update, and organize enrollment packets and related program documentation.
- Separate, distribute, and collect intake files, ensuring all required compliance summaries and transcripts are included.
- Prepare intake, interlock, and reenrollment packets as needed.
- Enter enrollment dates and follow-up reminders into the case management system.
- Record and monitor court orders, ensuring accurate documentation and timely reminders for follow-up actions.
- Assist with case review updates and mailing appointment letters to clients.
- Sort, organize, and file incoming faxes and documentation.
- Enter referral information and assist in training new staff members.
- Support front office operations, including answering incoming calls, checking and returning voicemails, and processing client payments.
Minimum Qualifications:
- High school diploma or equivalent required.
- Strong written and verbal communication skills.
- Proficient in computer operations, data entry, and document management systems.
- Excellent attention to detail with strong organizational and problem-solving abilities.
- Ability to multitask and prioritize effectively in a high-volume environment.
- Must successfully pass a criminal background check, DMV record check, and drug screening.
